Notification of Government Departments & Service Providers of the Death

This step explains the importance of notifying all government departments, companies and organisations about the death of the deceased owner of the Estate as soon as possible. An official notification of death is done to make sure any further payments are stopped, formal processes are initiated, and deadlines (e.g., tax return) are met.
Overview
When a loved one passes away, those left behind typically worry about things like:- how to notify friends of a death;
- who needs to be notified of the death;
- who notifies next of kin in a death; and
- how to notify Facebook of a death?
Beyond these concerns, however, are more practical matters that may require you to notify companies, organisations and government offices of the death of your loved one.
Australian government departments and most larger companies and organisations that the deceased person dealt with will likely have a process in place for dealing with an Executor or Administrator after the death of a customer.
At this stage, you want to notify all organisations that you have identified when searching for important documents as outlined in Step 10 – Documentation of Death to:- inform them of the death to initiate a formal process;
- provide notification of the deceased person's account details;
- request about further documentation needed;
- freeze bank accounts;
- request statements;
- prepare for claims;
- close accounts, subscriptions and membership to stop payments;
- provide an overview of options available where a contract can't be cancelled; and
- any other specific items that are relevant to their organisation.

12.1 Notifying the Australian Taxation Office (ATO) of the Death
If the deceased person has ever submitted a tax return and has a Tax File Number, notifying ATO of the death should be done as soon as possible.
Now, you could be wondering: How do I notify the ATO of a death?
Tax returns in relation to the deceased person and Estate for the financial year ending on 30 June are due for lodgement as per the usual individual tax return lodgement deadlines by no later than 31 October of the applicable financial year. If you likely will not manage to complete and submit the tax return(s), you should contact the ATO at 13 28 61 to seek a deferral after explaining your situation.
If the Death Certificate and a Will naming you as the Executor are available, you can notify the ATO online via the Australia Post service.
You will need to complete the online or paper form, as outlined below, make an interview appointment at an Australia Post branch within 30 days and bring the following documents:- Printed online form summary if you complete the ATO notifiction form online on the ATO website; or
- Completed ATO Notification of deceased person form; and
- Certified copy of the Death Certificate; and
- Certified copy of the Will.
If the deceased person did not leave behind a Will, you will need to apply for Letters of Administration first, which is covered in Step 27 – Grant of Probate Application or Applying for Letters of Administration.
You can still unofficially inform the ATO of the death by calling 13 28 61 to stop any new mail being issued by the ATO until official notification is provided as outlined above.

12.2.1 Overview

12.2.3 Australian Electoral Office
You will need to inform the Australian Electoral Office of the death to ensure their records are updated.

12.2.5 Local Council
The Local Council where the deceased person lived should also be informed of the death so they can update their records. Also, the Local Council may no longer provide services unless these are still being used by a surviving dependant living in the home and receiving council notices for payment to avoid late penalties.

You need to notify banks and other financial institutions (e.g., mortgage, leasing or other loan companies) the deceased person dealt with as soon as possible. It will be best to also provide the Death Certificate as proof when you communicate with them.

It can happen that the deceased person may have been insured with one or more providers like the Royal Automobile Club of Victoria (RACV) or the British United Provident Association Limited (BUPA).
The best recourse in such cases is to inform such organisations about the death right away and provide the necessary documentation (e.g., Death Certificate). These companies typically have guidelines in place regarding Deceased Estates; the RACV, for example, clearly states what they require of authorised representatives to start the claims process.
There's also a clear-cut process at BUPA on death notifications in Australia or elsewhere as long as they involve a policyholder.
No matter the insurance company you'll be dealing with, it's crucial to inform them officially about the death of your loved one as soon as possible, and have the required documents ready to get the process started.
12.4.2 Funeral Insurance
If you haven't organised and held the funeral as yet, you should check the importance of finding funeral insurance in Step 4 as you may need to use a specific funeral director and specific services.
12.4.3 Home & Contents Insurance
You should notify the home and contents insurance company the deceased person dealt with as soon as possible. As usual, it will be best to also provide the Death Certificate as proof.

12.8.1 Overview
Utilities providers the deceased person used must be notified about the death as soon as possible if their services are no longer required by a surviving dependant or tenant. It will be best to also provide the Death Certificate as proof.
Note: Some utilities cannot be switched off or disconnected and are permanently connected to a property. We recommend checking with the provider.

12.9 Remove the Deceased Person From Mailing Lists
Register the deceased person's details on the Association for Data-driven Marketing and Advertising (ADMA) website or in writing to initiate their removal from mailing lists.

- Call the organisation to find out about the contact details to notify them of the death;
- Issue a notification of death with the Death Certificate, reference or account numbers by which the deceased person can be identified and submit any required forms;
- Request statements of balances as at the date of death;
- Provide your contact details as the main contact; and
- Request information about their process of closing accounts and transferring any outstanding balances to the Estate.
